Facilities Maintenance Coordinator

Essential Job Functions: *

  • Oversees and coordinates all day-to-day maintenance activities, work orders, and repairs for the organization's facilities.
  • Manages relationships and contracts with external vendors, contractors, and service providers, scheduling services for cleaning, maintenance, and specialized repairs.
  • Ensures that facilities and equipment are in safe, functional, and well-maintained condition in compliance with all relevant health and safety regulations.
  • Maintains accurate and comprehensive records of all maintenance work, inspections, service agreements, and equipment inventory.
  • Provides administrative support and clear communication to internal stakeholders and external partners regarding maintenance issues, projects, and schedules and Acts as liaison between the city, employees, and any outside contractors needed to resolve problems.
  • Drafts and implements preventive maintenance schedules for buildings and equipment.  Conducts regular inspections and walkthroughs of the facilities to identify maintenance needs, potential safety hazards, and opportunities for improvement.
  • Ensures that maintenance activities and facility conditions comply with all relevant federal, state, and local regulations.
  • Participates in an emergency preparedness planning team.
  • Applies, or assists with application, for required environmental permits.
  • Maintains inventory of supplies; reorders as needed.
  • Communicates with the City Administrator on a continued basis regarding status of all projects, and facilities.
  • May assist with installation, modification, and/or makes minor repairs to computer hardware and software systems.
  • May assist with resolving tickets representing staff-generated technical requests or problems and troubleshoots technical and process issues to maintain productivity as directed by the IT technician.
  • Prepares reference material for users by drafting operation instructions on systems in their purview.  
  • Performs other related duties as assigned.

Knowledge, Skills, and Abilities
  • Proven experience in facility coordination, maintenance, or a similar role.
  • Exceptional organizational and time-management abilities, with a strong attention to detail.
  • Excellent written and verbal communication skills for interacting with staff, vendors, and management.
  • Solid understanding of maintenance processes, safety protocols, and general building systems.
  • Proficiency with relevant software, such as work order management systems and Microsoft Office.
  • Ability to take the initiative to complete the duties of the position without the need of direct supervision.
  • Ability to communicate mechanical or technical information in an accessible manner to non-technical employees.  
  • Ability to maintain positive customer-focused relationships with co-workers, supervisors, agencies, the public and all other internal and external customers. 
 
Education, Training and Experience
  • Bachelor’s or associate degree preferred.
  • Prior experience working in facilities and/or Helpdesk, in a similar function or equivalent combination of education and experience.
  • Must possess a valid South Carolina driver's license.
  • OSHA 30 certification preferred
Physical Requirements and Working Environment
 
  • Must have adequate environmental tolerance, including ability to tolerate high temperatures and confining workspaces.  
  • Prolonged periods standing and walking throughout facilities. 
  • Must be able to lift up to 25 pounds at times.
  • Must be able to bend, lift, stretch, climb, and crawl to maintain equipment and buildings.
  • Must be able to perform work in a variety of weather conditions. 
  • Must have finger and manual dexterity, strength, and physical stamina.
  • Must have body flexibility including multi-limb coordination.
  • Must have adequate depth perception, visual acuity, visual stamina, and auditory perception.
  • Ability to understand department rules and regulations, City of Hanahan rules and regulations and standard operating procedures and the ability to help formulate same.
  • Must be able to concentrate, memorize and reason logically.
  • Understands that may be required to respond to situations after normal business hours, nights, weekends, or holidays to handle unexpected or urgent situations.
  • Ability to respond to emergencies effectively, to change effectively, and to directives effectively.

Starting salary range:?$51,989.36 - $56,839.00. The City of Hanahan offers a competitive benefit package including health insurance and participation in the State Retirement plan (PEBA). Normal office hours are 8:30am – 5:00pm.  May be asked to work additional or different hours, days, nights and weekends to meet operational needs.???
